    File naming rules that work

    Start with the date

Use YYYY-MM-DD format. This keeps files in chronological order automatically in any file browser.

    Then category, then description

After the date: category name, then a short description of the specific document. No spaces, use hyphens.

    Always PDF

Convert all scanned documents to PDF. PDF preserves formatting, is universally readable, and is accepted by all institutions.

    Which deadlines to track

Most document-related problems happen because a deadline was missed. Here are the key dates to track for a typical Croatian household.

    Insurance renewals

Most insurance policies renew annually. Set a reminder 30 days before expiry to allow time to review your options before automatic renewal.

    Tax filing dates

The Croatian Tax Administration (Porezna uprava) sets annual filing deadlines. The personal income tax return (JOPPD and annual declaration) has specific submission windows. Keep these dates visible.

    Vehicle registration and technical inspection

Vehicle registration (prometna dozvola) and the technical inspection (tehnički pregled) have annual renewal requirements. Missing either can result in administrative complications.

    Loan and contract end dates

Fixed-term loans, leasing agreements and service contracts all have end dates. Knowing these in advance gives you time to review your situation before automatic renewal or expiry.

How to begin if you've never done this before

Starting from zero feels overwhelming. It isn't. Here is a simple sequence.

    01
    Collect everything first

Before sorting, gather everything into one place. Every drawer, every folder, every bag. Resist the urge to sort as you collect. Just get it all together first.

    02
    Sort into broad piles

Insurance. Loans. Utilities. Tax. Property. Personal. Anything you can't identify goes in an "Unknown" pile. Don't overthink categories at this stage.

    03
    Identify what has a deadline

Go through each pile and flag any document with an expiry date, renewal date or filing deadline. These are the high-priority items.

    04
Scan and name, one category at a time

Work through one category at a time. Scan, name using the YYYY-MM-DD convention, save to the correct folder. Don't try to do everything in one session.
